2 Hours a Day Back: Purchase Orders to Invoice and Delivery Order, Automated

Business owner checking a completed order on his phone next to a printer in a warehouse office

The result: 2 hours saved every day, zero retyping, and paperwork that is done before the owner sits down.

The problem

Every order meant three documents: a purchase order, an invoice, and a delivery order. Same customer name, same items, same amounts: typed three times. The owner did this daily, usually at the end of the day, and it took around two hours. Errors crept in when numbers were retyped. Deliveries waited on paperwork.

What we built

  • PO generation: orders are turned into a purchase order in one step and sent straight to the owner's Gmail
  • Auto-generated invoice and DO: once the PO is confirmed, the invoice and delivery order are created from the same data, no re-entry
  • Everything in Gmail: the owner works from the inbox he already uses; nothing new to learn, no new platform

The outcome

  • 2 hours a day saved: roughly 10 hours a week the owner now spends on customers and deliveries
  • Fewer errors: one source of data, three documents
  • Faster deliveries: the DO is ready the moment the order is confirmed

Why it works

The automation fits into tools the business already uses (Gmail, existing document templates) rather than replacing them. That is why adoption was immediate, there was nothing to switch to.
